一部电话,既是对外联系的窗口,又是协调指挥的中枢,既代表着单位的形象,又关系着工作运转的效率。笔者体会,接打好电话的前提,主要是强化四种意识。
一是尊重的意识。同事之间相处或对外联系工作,相互尊重是最基本的原则。接打电话也要体现尊重的意识,其中最重要的就是要平等待人。在接打电话过程中,不论是与其他单位联系工作,还是单位内部协调业务,都要在沟通过程中平等相待,既不能居高临下、盛气凌人,也不必妄自菲薄、低人一等。
二是服务的意识。我们的工作性质就是服务,任何时候都要秉持服务意识。接打电话是一种工作手段,也要把服务意识贯穿其中。无论是外单位请我们支持帮助,还是其他部门要我们协调解决问题,办公室的同志都要热情相待、及时解决。当对方提出的事项让我们感到困难、难以满足时,也要实事求是地解释清楚,取得谅解,并商量出妥当的办法。
三是尽责的意识。每个岗位都有对应的工作职责,接打电话是我们履行职责的一种方式,因此在接打电话过程中也要有岗位责任意识,做到尽心尽责,不能敷衍应付,更不能受自身性格、习惯、心情等因素的干扰影响。
四是规范的意识。接打工作电话不同于私人通话,要讲究规矩、懂得程序、注重礼仪,关键是要讲规范,不能太过随意。比如,要使用工作中的规范用语,不能随便乱说;要言简意赅,不能啰啰唆唆;要注意分寸,该说的说,不该说的不说。

接打电话有一些基本的环节步骤,既要有所掌握,又要灵活运用,总的原则是“礼多人不怪”,一般原则是内部或熟人的电话可从简,外部或生人的电话需周全。

1. 问候语,如“你好”“您好”(对领导、长者要用尊称)。

把握四个关键
接打好电话的关键,是良好的态度、周全的考虑、规范的表述和负责的意识。
态度和善,不急不躁。通话中注意语气,不能带有负面情绪。即使对方再着急、态度再不好,也不能急躁,更不要针锋相对,而是冷静处理,做到坚持原则、不卑不亢、柔中有刚。
事项清楚,不丢不落。该说的事项要一次说清楚,让对方准确理解,不要刚放下电话就开始担心自己是否没说清楚、对方是否没听明白,或者又想起来还有个事情忘记说了,要再打一次电话。特别是像时间、地点一类的关键信息,一定要说清楚、记清楚。
表述恰当,不少不多。沟通中语言要准确精练,该说的内容要说完整,并且只涉及相关的信息,无关的信息不必过多透露。比如,有电话找同事,而他不在,一般只需告诉对方“他现在不在”,而不必说明不在的具体原因。
敢于负责,不推不拖。接听电话,不论问及的事项是否属于分内或知情,都要有“首接负责”的意识,妥善处理,不要随便推脱。接起电话后需要再转给他人时,要将来电人是谁和询问的事项扼要告诉要转给的人,既使接话人有个准备,也可避免来话人又从头说起。通话结束后,有需要进一步处理的事项,要及时处理,不要拖延,防止遗忘。

中国餐桌礼仪习俗禁忌
中国人认为饮食与个人命运几乎是息息相关的,用饭时犯了禁忌,便会惹来衰运。例如吃鱼,当吃完了一面鱼身,不要用筷子把整条鱼翻转至另一面,他们认为若翻鱼时弄破鱼身,便意味著渔船会翻沉,这是由于香港在开埠初期是一个渔港,渔民很关注船只的安全航行;
此外,中国人从不会端上七碟菜肴用饭,因为葬礼后的“解慰酒“须有七碟菜肴;不可用筷子垂直插入碗饭的中央,因这样有点像在拜祭祖先;用饭后不可说“我吃完饭了”,这意谓自己已死去,不会再有机会吃饭,而应该说“我吃饱了”;
吃饭时避免筷子触碰饭碗而发出声音,这不单止是不礼貌,亦意味著无饭吃;要培养吃光碗中饭的习惯,一粒饭也不可剩余在饭碗,否则将来的太太或丈夫是痘皮脸的,亦不尊重辛劳耕种的农夫。这些迷信的饮食习俗流传至今,或多或少仍然成为中国人的饮食礼仪。
