信头(letterhead)
正是的商务信函按照规定必须写在专门的信纸上面,我们通常把这种信纸叫做带有信头的信纸(headed paper)。信头通常包括发言人的公司名称、地址、邮编、电话和传真号码等。信头的位置可以在信纸的左上角、右上角或者在信纸的中央。如果没有信头,你也可以先打出来。上面这封信的信头就是Mr.Thomas Davis, Smith and Brown PLC, 41 Fountain Street, Beijing 100010, Tel:6325XXXX, Fax:6325XXXX。
寄信人的地址(sender's address)
我们可以看出来写信人的公司是Smith and Brown PLC,地址是41 Fountain Street, Beijing 100010, 电话和传真是 Tel:6325XXXX, Fax:6325XXXX。寄件人的地址通常些在信的右上角或者信的左上角(收件人地址的上方)。
收信人的地址(recipient‘s address)
收信人的地址是David Advertising Ltd.,33 Corn Road,Beijing 100010。
编号(References,缩写为Ref.)
大多数商务书信都有编号,编号主要用于信件归类存档。编号通常分为Our ref.(我方编号)和Your ref.(你放编号)
日期(Date)
对于日期的书写大家一定要小心。比如2004年4月10日,我们写成2004/04/10,英国人通常为10/4/2004 或者10/04/2004,美式英语为4/10/2004或者04/10/2004。所以在写正是信函时最好写成10th April 2004(英式英语)或者April 10,2004(美式英语)。另外在很多信件中日期的位置并不是一成不变。它既可以出现在写信人地址的下面(信的右端),也可以出现在收信人地址的上面(信的左端),还可以出现在收信人地址的下面(信的左端)。这信就属于最后一种。
称呼语(salutation)
在信的正文开头总要有一个称呼,通常都是用Dear 开头。在英式英语中称呼语后面可以不加标点符号或加逗号(美式英语有时加冒号),但是如果你使用都好就要在结束语后面也加上逗号,如果不是用逗号则结束语也不加逗号。在英语中称呼名字与中国人正好相反。中国人姓在前名在后,英国人是名前姓后。英语中一般有四种对人的称谓,即:Mr./Ms./Mrs./Miss,我们在称呼时通常用对方的姓。比如:James Brown, 其中James 是名(given name/Christian name/first name),Brown是姓(surname/family name/last name)。如果是男士(通常可以从名字看出来),我们可以说:Dear Mr. Brown 布朗先生(未婚或已婚都可以)。如果是女士,我们可以说Dear Mrs. Brown布朗夫人(已婚),Dear Miss Brown布朗小姐(未婚),Dear Ms. Brown 布朗女士(未婚或已婚都可以)。如果不知道对方姓名,我们可以这样写: Dear Sir or Madam, Dear Sir或者Dear Madam。如果收信人是一家公司,这时你则应该以Dear Sirs 作为这封信的称呼。

信的主题(subject 或者regarding 加上冒号,regarding 经常被缩写为re:)
信的主题说明这封信主要说明的是什么内容。有时也可以不写subject或re: 而直接用大写字母写明主题或者用消协字母加横线。上面这封信可以有以下几种写法:
1.每个单词的首字母大写:Re:New Product Advertisement Booking
2.每个单词的字母大写,但是不用加横线:SUBJECT:NEW PRODUCT ADVERTISEMENT BOOKING.
3.如果不用Re或者subject 可以直接写为:NEW PRODUCT ADVERTISEMENT BOOKING 或者New Product Advertisement Booking。
以上三种大家可以任选。
信的正文(Body)
1. 信的首段:(introductory paragraph)
通常正是信函的第一阶段会表明写信的原因、目的或者根据什么来写这封信。
2.信的主段(main paragraph)
信的主要内容通常放在此段,此段根据内容的多少可以另分为数段。
3.结束段(concluding paragraph)
在新的结束段,通常会根据情况表达感谢或盼望对方回信等。
结束语(complimentary ending)
结束于根据称呼语的不同而不同。如果知道收信人的姓名,比如:Dear Mr. Brown, Dear Mrs. Brown, Dear Miss Brown和Dear Ms. Brown, 其结束语是Yours sincerely(美式英语是Sincerely yours 或Sincerely)。如果不知道姓名我们通常用Dear sir or Madam, Dear Sir 或者Dear Madam,其结为语是Yours faithfully(美式英语是Faithfully yours 或Faithfully)。这里大家一定注意结束语Yours sincerely 的写法。Yours中的字母y应该大写,并且Yours中的s不能省略。综上所述,称呼语语结束语的对应关系如下:

它表明此信还寄出去了何种文件或物品。

To:后面可以跟部门、公司名称,也可以跟人名。有的传真没有FAO这项,那么To后面跟人名即可。
From:指这个传真是谁写的。
Date:指些这个传真时的日期。
Subject:指这分传真的主题,即传真的主要内容是什么。
Pages: 指传真的页数。传真通常会标识页码。传真通常在第1页标示出总共有多少页,并在后面每一页中标示出页码。比如 1 of 3 表示总共有3页,本页为第1页。
传真根据实际情况可分为正式和非正式,比如你可以用传真传送正式的信件,也可以用传真传送一些留言等。

商务英语初级信函写作,应当力图行文简洁有力,重点突出,以下是在这方面需要注意的点。
(一) 避免使用陈旧的商业术语
陈旧的与传统的商业术语(Commercial jargon)对信的内容没有什么作用,应该避免使用。
例一: Wordy: We wish to acknowledge receipt of your letter of November 14 with the check for Stg.10 enclosed and wish to thank you for same. Concise: We appreciate your letter of November 14 and the check for Stg. 10 you sent with it.
例二: Wordy: We take liberty to approach you with the request that you would be kind enough to introduce to us some exporters of cotton textiles in your cities. Would you please introduce to us some exporters of cotton textiles in your city? Concise: (a) Please introduce to us some exporters of cotton textiles in your city. (b)Would you please introduce to us some exporters of cotton textiles in your city. (注:此类简洁的表达方式很多。)
(二) 要长话短说,避免罗嗦
通常商业人士每天需要阅读大量的书信,对开门见山,长话短说,直接切题的信特别欢迎。因此, 写信要力求长话短说,
例如:不要写 应写作 Please see that an enquiry is conducted to determine the reason. Please find out the reason. We express our regret at being unable to fulfill your order on this occasion. We are sorry we cannot meet your present order. 要使用简洁的语言,有可能的话, 尽量使用单词来代替某些娇柔做作的短语。
删去不必要的形容词,如下列句子中的形容词或副词删去后并不影响句子的原意: The proposal is under (active) consideration. The answer is (definitely) correct. I would (rather) think the fare is too high. The (true) facts are as stated.
(三) 要注意每句句子的长短
例如:"We would like to know whether you would allow us to extend the time of shipment for twenty days, and if you would be so kind as to allow us to do so, kindly give us your reply by cable without delay." 这句话过分"客气",使句子过长而不清楚。内容要求对方同意延期交货20天,一般情况下,应尽可能提出延期到那一天的具体日期。这句话可压缩为:"Please reply by telegram immediately if you will allow us to delay the shipment until April 21."(如同意我们把交货延期到四月二十一日,请电复。)
有的作者为了使人们记住避免使用陈旧的商业术语,专门选择了一些他认为陈旧的商业术语搞成一首诗: We beg to advise and wish to state That yours has arrived of recent date. We have it before us, its contents noted; Herewith enclosed are the prices we quote ed. Attached please find, as per your request, The data you wanted; and not let us suggest Your order be sent, and not held unduly, We beg to remain, yours most truly.

通行的商务写作格式,一般采用齐头式,因此在BEC写作中,也建议采用齐头式,看起来格式美观、逻辑清晰。
齐头式的写作格式要求:
段落齐头:在齐头式中,文件或书信中的每个部分都从左边界起头
不同的段落之间要空行:不同的部分(段与段之间),以空行的方式隔开
缩进式比齐头式稍微复杂一些。缩进式是比较老式的商务书信格式,所以很多人都熟悉这种格式。在缩进式里,每个段落的首行要缩进,一般最少要缩进六格,要缩更多格也可以——只要每个段落缩排的距离都一样。段与段之间要空行区分。所以采用缩进式时,最重要的就是要前后一致。
在BEC写作中,一般建议采用较为简单的齐头式格式,但是在字数不足的情况下,可以使用缩进式。
